Privacy Policy

Platypus Pool Systems ("Platypus", "we", "us" or "our") respects your privacy. This Privacy Policy explains how we handle personal information when you use the Platypus iOS app, Platypus devices and connected services, the website at platypusps.com, or contact us for support.

1. Who We Are

Platypus provides tools for monitoring, understanding and maintaining swimming pools. For privacy questions, requests or complaints, contact:

2. Information We Collect

The information we collect depends on the features you choose to use and the permissions you grant.

Account and Contact Information

We may collect your name, email address, account identifier, authentication status and information needed to manage your account and subscription entitlements. Authentication is provided using Microsoft Entra External ID.

Pool and Installation Information

We may collect your installation name, pool profile and configuration, pool location, timezone, equipment and chemical selections, water-test results, maintenance events, routines, preferences and other pool-care information you enter or generate in the app.

Device and Connectivity Information

If you connect a Platypus device, we may collect device identifiers, model and serial information, device ownership or binding information, configuration status, sensor observations, operational telemetry and diagnostic information. Bluetooth is used only when you start device setup or local diagnostics. Wi-Fi credentials entered during setup are sent directly to the nearby device over Bluetooth and are not stored by the app.

Location and Environmental Information

With your permission, the app may use precise location to confirm your pool location, set its timezone, obtain relevant weather context and tailor pool-care recommendations. You may instead enter or adjust a location manually where that option is provided.

Camera, Photo and Environment-Scanning Information

With your permission, the app may use the camera to:

  • scan Platypus device QR codes;
  • photograph and analyse pool test strips and reference cards; and
  • assist with augmented-reality pool surface-area measurement.

Test-strip images may be uploaded to our service for analysis and record keeping. For pool measurement, we may retain measurement points, outlines, dimensions, confidence information and other geometry derived from an augmented-reality session. We do not use this information for advertising.

Notifications and Reminders

If you enable notifications, we process notification registration information and your notification preferences so we can deliver app notifications through Apple Push Notification service. If you choose to create an Advisor follow-up reminder, the app requests access to Apple Reminders for that action.

Diagnostics and Security Information

We may collect limited diagnostic, reliability and security information, such as app version, request status, error category, timing and privacy-safe operational summaries. We use this information to operate, secure and improve the service. The app is designed not to place passwords, access tokens, precise coordinates, raw test images or Wi-Fi credentials in its diagnostic messages.

Website and Support Information

When you visit our website or contact us, we may receive contact details, the content of your enquiry, attachments you choose to send, and basic website information such as browser type, device type, pages viewed and cookie or analytics identifiers used by our website provider.

3. How We Collect Information

We collect information:

  • directly from you when you create an account, configure an installation, enter results, use a camera or measurement feature, or contact us;
  • from a Platypus device that you connect to your account;
  • from your iPhone, with the permissions you grant;
  • from service providers that support authentication, maps, weather, notifications, hosting and app operation; and
  • automatically through limited website, service and security logs.

4. Why We Use Information

We use personal information to:

  • create, authenticate and administer your account;
  • provide pool monitoring, testing, measurement, history, reminders and device features;
  • calculate and present pool status, trends, forecasts and recommendations;
  • provide AI-assisted insights where that feature is offered;
  • connect, configure, secure and troubleshoot Platypus devices;
  • deliver notifications and support requests you initiate;
  • protect users, devices and services from misuse or security threats;
  • diagnose faults and improve reliability, accessibility and usability;
  • communicate important service, privacy or safety information; and
  • comply with legal obligations and resolve disputes.

AI-assisted guidance is informational. Pool conditions vary, and automated output can be incomplete or inaccurate. Always follow product labels, equipment instructions, applicable safety requirements and advice from a qualified pool professional.

5. Permissions and Your Choices

Camera, location, Bluetooth, notification and Reminders access is requested only when relevant to a feature. You can decline a request or later change access in iOS Settings. Some features will not work, or will require manual input, without the relevant permission.

You can choose whether to receive notifications and whether to create an Apple Reminder. The app does not track you across apps or websites owned by other companies, and we do not sell personal information or use app information for third-party advertising.

6. When We Disclose Information

We disclose information only as needed for the purposes described above, including to:

  • Microsoft services used for authentication, cloud hosting, storage, monitoring, maps, notifications and AI-assisted processing;
  • Apple services used to distribute the app and deliver push notifications;
  • weather and environmental-data providers used to provide local context;
  • website hosting, analytics and support providers;
  • professional advisers, insurers, regulators, law-enforcement bodies or courts where reasonably necessary or required by law; and
  • a purchaser or successor if all or part of our business is reorganised, sold or transferred, subject to appropriate confidentiality and privacy protections.

Service providers may process information only to provide their contracted services to us and are expected to protect it appropriately.

7. Overseas Processing

Our primary production services are intended to be hosted in Australia. Microsoft, Apple and other providers may nevertheless process or support information in Australia, the United States and other countries in which they or their subprocessors operate. Privacy protections and legal requirements in those countries may differ from those in Australia.

Where required, we take reasonable steps to use providers and contractual arrangements that protect personal information. We review service locations and will update this policy when our material processing arrangements change.

8. Storage, Security and Retention

We use technical and organisational safeguards designed to protect personal information, including authenticated access, encrypted network connections, access controls, secret redaction and privacy-conscious diagnostics. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

We retain information only for as long as reasonably necessary to provide the service, maintain security and records, resolve disputes, and meet legal obligations. Retention depends on the type of information and why it was collected. Account, installation, device and pool-history information may remain while your account is active. Support and security records may be retained for a reasonable period after an issue is closed. Deleted information may remain temporarily in protected backups or logs until those records are overwritten or expire.

9. Access, Correction and Account Deletion

You may ask to access or correct personal information we hold about you. You may also request deletion of your Platypus account and associated personal information by emailing sales@platypusps.com with the subject Account Deletion Request from the email address associated with your account.

We may need to verify your identity before acting. We will delete or de-identify information that is no longer required, except where retention is required or permitted by law, is needed to protect security or prevent fraud, or is necessary to establish, exercise or defend legal claims. We will explain if we cannot complete all or part of a request.

10. Privacy Complaints

To make a privacy complaint, email sales@platypusps.com with the subject Privacy Complaint and describe the issue and the outcome you are seeking. We will acknowledge and investigate your complaint and aim to respond within 30 days. If we need more time, we will tell you why and provide an updated timeframe.

If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.

11. Children

Platypus is not directed to children under 16 and is intended to be used by an adult responsible for a pool or installation. We do not knowingly collect personal information directly from children under 16. Contact us if you believe a child has provided personal information to us.

12. Changes to This Policy

We may update this policy when our app, services or legal obligations change. We will publish the updated policy at this address and change the Last updated date. If a change is material, we will provide additional notice where reasonably appropriate.
